Scheduled Maintenance Programme

Poor standards of maintenance are a major underlying cause of accidents in the catering industry causing unnecessary delays and a potential loss in profits.

At BFES we are committed to perfecting equipment and plant maintenance as a viable alternative to reactive breakdown maintenance. With good management, BFES has proven that maintenance completed correctly will also offer rewards in staff morale by eliminating equipment down time and preventing unplanned costly repairs that could have been avoided.

A Scheduled Maintenance Programme can be agreed to assure that the site is visited and maintained on a routine basis.

Continual feedback from engineers in the field and analysis of spares used through our computerised spares system, allows us to carry commonly used spare parts on our vehicles.This increases the opportunity to provide a first visit fix, reducing equipment down time and negating the need for return visits. By eliminating costly return visits we reduce the environmental effects of additional journeys.

Example of the Scheduled Maintenance Programme

Each site is entered into a schedule and allocated a time programme for maintenance visits.Two weeks prior to the planned visit the site will be notified in writing of the intended works, estimated duration and names and numbers of personnel attending. One week prior to the visit a telephone call will be made to confirm details.

Maintenance documentation and notification will be in accordance with BFES – ISO 9001(2000) quality procedures. During the first service visit a detailed inventory of all equipment will be taken, with serial and model numbers, energy type and consumption, Electrical bonding and refrigerant gas. The catering installation will be checked for conformity to current standards and correct installation.

An equipment/certificate register will be established for entry of all details and work completed. The necessary certificates will be issued on completion of each service visit for each appliance.

On completion of each maintenance/service visit a ‘Post Maintenance Report Letter’ is issued and a copy included in the equipment/certificate register. The report will consist of the general condition of equipment, any defects repaired during servicing and notification of defects outside contract or requiring clarification. Additionally after the first service visit a ‘Refrigerant Register’ will be established to list and quantify the holdings of ‘CFC and HCFC’ refrigerants per site.

All of our procedures are contained within our Quality Assurance System and are designed to be customer focused to ensure that we manage all equipment maintenance with the most cost effective effort whilst ensuring that all installations and equipment conform to current regulations.

BFES issues individual gas, calibration and electrical certificates providing a fully traceable equipment history for every item of equipment that is serviced, in accordance with our ISO9001(2000) quality procedures. This ensures that all work undertaken has been completed correctly to current standards, by every individual who is engaged on the contract.

Refrigerated equipment temperatures are checked with our own certified calibrated instruments to ensure that controlled temperature compliance is being achieved. On completion of maintenance additional servicing certificates are issued to combine with electrical test certificates.

BFES is registered with the Environment Agency as Authorised transporters of Controlled Waste and as a producer of Controlled Waste. All substances and procedures are monitored and independently audited by REFCOM to ensure that all controlled substances are correctly recovered, handled and disposed of in accordance with current guidelines. On recovery of substances from any site a ‘Duty of Care Controlled Waste Certificate’ is issued by BFES to ensure that an auditable trail of hazardous substances is maintained.

To complement our complete certification package we track and analyse all breakdown work and cost all calls against individual items of equipment. As breakdown calls are received they are immediately logged against individual items of equipment. At specified time intervals the data is drawn down for analysis and presented to provide accurate expenditure per individual item or per site, ensuring complete visibility of equipment condition and expected useful cost effective life.
